What I Look for When Capturing an Event and How Those Images Can Be Used Afterwards
If you happen to ever think about event photography, I wonder if you picture a photographer wandering aimlessly around taking numerous photos of people chatting and smiling. This does form a chunky part of most event briefs, but let me tell you, there’s actually much more to it than that.
Whatever type of event I’m photographing (conference, panel talk, workshop, networking, party etc etc), I’m always looking for a good variety of images that tell the complete story of the day. The goal isn’t simply to document what happened, but to create a collection of photographs that continue to deliver value long after the event has finished.
Capturing the Atmosphere
One of the first things I look for is the overall feel of the event. Wide shots of the venue, room set-ups, decorations, branding and guests arriving help establish the atmosphere and provide context.
These images often prove extremely useful for promoting future events, showing potential attendees what they can expect and demonstrating the professionalism and scale of the occasion, especially if it’s an annual event.
People Connecting
Events are, at their heart, about people. I spend a lot of time simply observing, waiting for key interactions and looking for genuine moments between attendees.
Conversations, laughter, handshakes or even hugs, all help tell the story of the vibe in the room, of how people connected and engaged with one another. These candid photographs are my favourite because they feel authentic and relatable.
But much more importantly, they are gold when used across websites, social media, newsletters and marketing materials to showcase the human side of your event/organisation.
Key Moments and Highlights
Every event has moments that matter.
This could be a keynote speaker taking to the stage, an award presentation, a panel discussion, a ribbon cutting or a fundraising announcement. Capturing these moments clearly and professionally ensures there is a visual record of the most important parts of the day.
These images can be particularly useful for press releases, annual reports, stakeholder communications and post-event publicity.
Speakers and Presenters
When photographing keynote speakers or panellists, I aim to capture a variety of images showing them engaged, animated and connecting with their audience (if applicable!).
Strong speaker photographs are frequently used on social channels (LinkedIn particularly), company websites, future event promotions as well as personal marketing materials. For many speakers, the images of them in action become part of their professional brand to be used time and again.
Audience Reactions
A speaker on stage tells a big chunk of the story. Audience engagement is equally important.
Photographs of attendees listening (hopefully attentively), participating in discussions (think hands up for questions) or reacting to presentations (applause, laughter etc) help demonstrate the success and impact of an event. They provide social proof and show future attendees that the event delivers genuine value.
Branding and Details
It’s easy to focus entirely on people, but the smaller details deserve attention too.
Event signage, branded materials, sponsor displays, merchandise, table settings and promotional items all play a role in telling the story. These details often represent a significant investment and help reinforce your organisation’s identity.
Photographs of branding can be invaluable for sponsors who want evidence of their involvement and for businesses looking to demonstrate the visibility they provide to partners.
Where & How Event Images Can Be Used Afterwards
One of the biggest misconceptions about event photography is that the images are only useful for a few days after the event. In reality, a well-planned gallery can provide content for months.
Event photographs can be used for:
- Social media content
- Website updates
- Blog posts and case studies
- Press releases
- Annual reports
- Internal communications
- Email marketing campaigns
- Future event promotion
- Sponsor reporting
- Recruitment materials
- LinkedIn content
- Award submissions

More Than Just Taking Pictures
Good event photography is about observation, anticipation and storytelling. It’s about understanding what matters to the organiser and recognising the moments that will have the greatest value later.
By capturing a mixture of atmosphere, people, branding, details and key moments, the resulting gallery becomes far more than a collection of photographs. It becomes a valuable library of content that can support your organisation’s marketing, communications and future growth.
Rather than seeing event photography as simply a record of what happened, it’s helpful to think of it as a content creation opportunity. A single event can generate hundreds of assets that continue working for your business long after the event itself is over.
Who is your Event Photographer?
It’s Me! Hi, I’m Georgina.
I absolutely LOVE photographing events. Big or small; spotting those stand out moments, capturing the atmosphere and documenting all the action is a side of my business that I really enjoy. I’m happy to blend into the background when needed and engage with particpants and attendees if required.
I have photographed conferences, panel talks, book launches, enrichment events, fund raisers, reunions, staff away days and many more besides! If you would like to chat about your event and what I can capture for your company, please do get in touch.
